Role Overview
This is a hands-on role for someone who can both design and execute. As the first operations hire, you will be responsible for assisting in the buildout of the operational infrastructure, helping selectand manage service providers, building out processes and controls, and handling all day-to-day execution. You will work directly with the founding partners and have day to day ownership of the operations function.
Key Responsibilities
- Operational build-out: Help to design and implement operational workflows, controls, and procedures from launch. Establish the operational playbook for trade support, reconciliations, corporate actions, and reporting.
- Service provider management: Lead the onboarding, and ongoing management of fund administrators, prime brokers, custodians, and other key vendors.
- Trade support and settlement: Confirm and affirm trades with brokers and prime brokers across Japanese equities, derivatives, and macro instruments. Monitor settlement queues and escalate issues promptly.
- Daily reconciliations: Perform position, cash, and P&L reconciliations between internal systems, prime brokers, and administrators. Investigate and resolve discrepancies in a timely manner.
- Break management: Identify, document, and chase trade breaks and fails with domestic and international brokers. Maintain a log of outstanding items and drive resolution.
- Fund administration oversight: Manage the relationship with the fund administrator. Oversee NAV production, investor reporting, capital activity, and month-end/quarter-end close processes. Review and sign off on NAV packs and ensure accurate fee calculations.
- Corporate actions: Monitor and process corporate action events on Japanese securities, ensuring elections are made accurately and on time. This is particularly important given the activist strategy.
- Collateral and margin: Manage margin calls, collateral movements, and daily exposure monitoring across prime brokerage relationships.
Requirements
- Japanese national with native-level Japanese and business-level English (written and spoken).
- Experience in hedge fund or asset management operations.
- Prior experience at a launch/early-stage fund or demonstrated ability to build processes and infrastructure from scratch would be highly desirable.
- Deep understanding of trade lifecycle, settlement processes, and reconciliation workflows across multiple assetclasses. Experience with Japanese equity settlement.
- Experience managing fund administrator and prime broker relationships.
- Proficiency with industry systems such as Enfusion, Bloomberg or similar platforms.
- Advanced Excel skills; experience with SQL or Python is a plus.
- Exceptional attention to detail, strong judgement, and ability to work independently with minimal oversight.
- Comfortable operating in a lean, entrepreneurial environment where flexibility and ownership are valued.
Compensation
- Base salary: depending on experience
- Discretionary bonus based on individual and firm performance, with significant upside as the fund scales
